Odoo Accounting / Nimex Solutions

Turkish Cheque Management

Odoo has no model for the cheque portfolio Turkish accountants run every day, so states live in spreadsheets and entries are booked by hand. Nimex built a cheque application on Odoo Accounting where every operation, from receipt to collection, endorsement or bounce, posts its own balanced 120/320 entry and the portfolio totals follow.

The problem

A cheque has a life. Standard Odoo sees one payment.

In Turkish B2B trade a received cheque sits in the portfolio, goes to the bank for collection, is given as collateral or endorsed to a supplier, and sometimes bounces. Each step moves the amount between receivable sub-accounts, and the maturity date drives the cash plan.

Standard Odoo records a payment and nothing about the instrument. Accountants keep a parallel list, book the 120.xx and 320.xx entries manually and find out about a maturing or bounced cheque too late.

What we engineered

Received and issued cheques, each with its own ledger trail.

A standalone application that depends only on Odoo Accounting. Every operation is a wizard, every wizard posts a balanced entry, and the operation history keeps the previous and new state.

Received cheques

  • Çek Al on a posted customer invoice: cheque number, bank and branch, drawer and tax id, IBAN, dates, front and back images.
  • Allocation over one or several invoices; Toplam Tahsis must equal the amount, or partial allocation where chosen.
  • Portfolio, collection, collateral, endorsement, collection with bank fee, bounce, return and cancellation.

Issued cheques

  • Çekle Öde on a posted vendor bill: an outbound payment on 320.01 Verilen Çekler, bills reconciled.
  • Kesildi, Teslim Edildi, Ödendi from the bank, İade Edildi or İptal Edildi with the bill reopened.
  • Given cheques due and paid this month on the dashboard.

Accounting rules

  • Portfolio, collection, collateral, endorsed, bounced and payable accounts configured per company.
  • Switches: endorsement settles the supplier, bounce reopens the invoice, collateral and collection create entries.
  • Multi-currency amounts with their company-currency value; multi-company rules and four security roles.

Monitoring

  • Dashboard: portfolio, at collection, collateral, endorsed, collected this month, bounced, maturing in 7 and 30 days, overdue, by currency.
  • Daily reminders: maturing within 7 days, overdue, bounced follow-up.
  • Cheque counts, amounts and a computed risk level on each customer; cheque and maturity reports.

How it works

A received cheque, operation by operation.

  1. Çek Al

On a posted customer invoice the receive wizard records the cheque and allocates it to one or several invoices.

  2. Al / Receive

An inbound payment is created and reconciled: D 120.01 Alınan Çekler Portföy / C 120 Alıcılar; the invoice is paid.

  3. Portföye Al

The cheque is in the portfolio; the dashboard's portfolio total includes it.

  4. Tahsile Gönder, Teminat Ver or Ciro Et

    To the bank (D 120.02 / C 120.01), as collateral (120.03), or endorsed to a supplier (D 320 / C 120.04), settling their bills.

  5. Maturity reminder

Seven days before the Vade Tarihi a daily job raises an activity on the cheque; overdue cheques are reported too.

  6. Tahsil Et

    Collected with the bank fee: D 102 Bankalar (net) and D 760.01 (fee) / C 120.02 (gross).

  7. Or Karşılıksız

A bounce books D 120.05 / C 120.02, or reverses the payment and reopens the invoice, and the customer's risk level rises.
